What is a salary slip?

A salary slip (or payslip) is the statement an employer gives an employee for each pay period. It shows what the employee earned, what was deducted and the net amount paid. Employees use it for loans, rental agreements, visa applications and income tax returns, so every line should match the payroll records.

How to make a salary slip

  1. Employer: the company name and address, and your logo if you have one.
  2. Employee and period: name, employee ID, designation, department, pay period and pay date, plus PAN and UAN for Indian payrolls.
  3. Attendance: working days, paid days and any loss of pay days.
  4. Earnings: one line per component, such as basic salary, house rent allowance, conveyance and special allowance.
  5. Deductions: provident fund, professional tax, income tax (TDS), ESI, loans or advances.
  6. Check the result: gross earnings, total deductions, net pay and net pay in words are calculated for you.

Download the result as a PDF or an editable Word file, or print it. Your draft stays in this browser only, so you can come back to it; nothing is uploaded to our servers.

Salary slip components explained

ComponentTypeWhat it is
Basic salaryEarningThe fixed core of pay. Under India's labour codes, in force from 21 November 2025, allowances above half of total pay count as wages for statutory purposes, so basic plus dearness allowance is usually kept at about 50% or more.
House rent allowance (HRA)EarningPaid toward rent; part of it can be tax exempt for employees who pay rent.
Conveyance and special allowancesEarningFixed allowances that make up the rest of the agreed salary.
Provident fund (PF)DeductionThe employee's share of the EPF contribution, commonly 12% of basic wages.
Professional taxDeductionA state tax on employment; the amount depends on the state and the salary.
Income tax (TDS)DeductionTax deducted at source on salary, based on the employee's expected income for the year.
ESIDeductionEmployee State Insurance for employees whose wages are within the ESI limit.

Salary slip format in Word and Excel

Use the Word download when you want to adjust wording or add a company stamp, and the Excel download to keep a record of every month's figures in one place. The PDF is best for sending to the employee. In Pakistan, the same format works with PKR as the currency and deductions such as income tax and EOBI.

Use it honestly. Each slip carries a small "generated with TradingForms for record keeping" line. A salary slip must reflect the salary actually paid; making slips that do not match real pay to obtain a loan or visa is fraud.

Frequently asked questions

What is the format of a salary slip?

Company name and logo at the top, then the employee's details and pay period, then earnings and deductions side by side, followed by gross earnings, total deductions, net pay, net pay in words and a signature.

Is a salary slip mandatory in India?

Employers must keep wage records and many state rules require wage slips to be issued. In practice almost every employer issues a monthly slip, and employees need it for loans and tax.

How is net pay calculated?

Net pay is gross earnings minus total deductions. The form adds every earning line and every deduction line and shows the difference.

Can I download the salary slip in Excel?

Yes. Download Excel to keep the figures in a spreadsheet, Word to edit the slip, or PDF to send it.

Can I make a salary slip for myself?

A salary slip must come from the employer and match the salary actually paid. You can use this format to understand or check your own slip, but a slip you make yourself is not proof of income.
