How to Convert CSV to QBO for QuickBooks Desktop (Free)

To convert CSV to QBO, open the CSV in a converter, tell it which columns hold the date, description and amount, set the account details, and save the transactions as a QuickBooks Web Connect (.qbo) file. The free CSV to QBO converter does this in your browser, so your bank data is never uploaded, and you can then import the file into QuickBooks Desktop like a download from your bank.

Below you will find why QuickBooks Desktop needs QBO at all, which CSV layouts work, how to avoid swapped dates and duplicate transactions, and the import steps for Desktop and Online.

Why convert CSV to QBO at all?

You convert CSV to QBO because QuickBooks Desktop brings bank transactions in through Web Connect, and Intuit says a .qbo file is the only type Web Connect can read. QuickBooks Online is different: it can upload a CSV directly. So the conversion matters most for Desktop users, or for anyone who wants the bank feed matching that comes with a QBO file.

Common reasons people end up with a CSV instead of a QBO:

  • the bank only offers CSV or Excel downloads,
  • the bank offers QBO only for the last few months,
  • the transactions come from a card provider, a payment app or a spreadsheet you keep yourself,
  • you converted a PDF statement to CSV and cleaned it up first.

Which CSV layouts work for CSV to QBO?

Any CSV with a date, a description and the money works: either one signed amount column, or separate money out and money in columns. A header row with column names helps the converter guess which column is which, and you can change every guess before you download.

Layout Example header How to map it
One signed amount Date, Description, Amount Amount: money in positive, money out negative
Two columns Date, Narrative, Debit, Credit, Balance Money out = Debit, Money in = Credit, leave Amount empty
European export Datum; Omschrijving; Bedrag Semicolons and decimal commas are read as they are

The converter detects commas, semicolons, tabs and pipes as separators, and it reads amounts written as 1,234.56, 1.234,56, (12.00) and 12.00 DR. A Reference column (cheque number or bank reference) and a Balance column are optional. Rows with no amount at all, such as a "balance brought forward" line, are left out.

If your bank's CSV has the sign the wrong way round, so that payments show as positive, map the column as Money out instead of Amount, or flip the sign in the spreadsheet before you convert.

How to convert CSV to QBO, step by step

  1. Open the CSV to QBO converter and drop your CSV file.
  2. Check "Which column is which". Date and Description, then either Amount or Money out and Money in. Untick "The first row holds column names" if your file has no header.
  3. Check "Dates in the file". Automatic works for most files; set it yourself if your dates are ambiguous (see the next section).
  4. Look at the summary: number of transactions, money in, money out and the date range. Compare them with your bank's totals for the period.
  5. Open "File settings" and set the account type (checking, savings, line of credit or credit card), the account number and, if you know it, the bank routing number.
  6. Press QBO to download. QFX for Quicken, OFX, IIF and Excel are on the same screen.

How do you stop day and month from swapping?

Set "Dates in the file" to day, month, year or month, day, year before you download. On automatic, the converter looks at the whole date column: a first number over 12 means day first, a second number over 12 means month first. If every date is ambiguous, such as 03/04/2026, it reads them month first, the US habit.

So a UK or European file that only covers the first 12 days of each month can come out swapped on automatic. Check the date range in the summary: if a one month statement shows a range across several months, change the setting. Dates written as 2026-10-03, 03 Oct 2026 or Oct 3, 2026 are never ambiguous.

Rows whose date cannot be read at all are shown highlighted and are left out of the QBO file, with a count on screen. Fix those dates in the CSV and convert again.

What is the Intuit bank ID in a QBO file?

The Intuit bank ID (the INTU.BID line) is a number inside every QBO file that tells QuickBooks which bank the file came from. The converter fills in a default. If QuickBooks says it cannot verify the financial institution or refuses the file, enter your own bank's ID in File settings and download again.

The easiest place to find your bank's ID is an older QBO file from the same bank: open it in Notepad or TextEdit and copy the number after <INTU.BID>. Also check the account type: a credit card file should be set to credit card, or QuickBooks may not offer the right account to import into.

Will QuickBooks import the same transactions twice?

QuickBooks skips any transaction whose ID it has already imported into that account. Each transaction in your QBO file gets an ID built from its date, amount and position in the date-sorted list, so converting the same CSV twice gives the same IDs, and importing that file again adds nothing new.

Two things can still create duplicates:

  • Overlapping files with different rows. If you add or remove rows in a period you already converted, the positions change and so do the IDs. Convert each period once, and start each new CSV the day after the last transaction already in QuickBooks.
  • Transactions entered by hand before the import. Match them in the Bank Feeds review instead of adding them.

One more detail: rows that match exactly on date, amount, description and reference are treated as repeats and kept once, even within one file. If you really have two identical payments on the same day, give one of them a reference in the CSV so both stay.

How to import the QBO file into QuickBooks Desktop

Back up your company file first. Then, following Intuit's Bank Feeds instructions:

  1. Go to Banking, then Bank Feeds, then Import Web Connect Files. (File, Utilities, Import, Web Connect Files leads to the same place.)
  2. Select the .qbo file and open it.
  3. Choose Use an existing account and pick the bank account, or create a new one, then Continue.
  4. Click OK when QuickBooks says the data has been read, and review the transactions in the Bank Feeds Center.

If the account is already set up for Direct Connect, Intuit says you have to disconnect bank feeds for that account before you can switch it to Web Connect.

Can QuickBooks Online import the CSV directly?

Yes. QuickBooks Online takes a CSV with 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit) under Bank transactions, Link account, Upload from file. Intuit limits each upload to 350 KB and 1,000 lines. A QBO file works there too and is often easier, because you skip the column matching.

Where the CSV comes from

Have only a PDF statement? The bank statement converter reads PDFs, scans and photos and gives you QBO directly, and our guide to converting a bank statement to CSV explains the column layout most programs expect. Going the other way, the QBO to CSV converter turns a QBO file back into a spreadsheet.

Drop your bank CSV into the free CSV to QBO converter, check the columns and dates, and import the QBO file into QuickBooks in a few minutes. Nothing is uploaded and there is no limit.

Frequently asked questions

How do I convert a CSV file to QBO?

Drop the CSV into the TradingForms CSV to QBO converter, check which columns are the date, description and amount, set the date order if needed, then press QBO. The file is made in your browser and can be imported into QuickBooks Desktop through Bank Feeds.

Can QuickBooks Desktop import a CSV bank file?

Not as a bank feed. QuickBooks Desktop brings bank transactions in through Web Connect, which reads only .qbo files, so convert the CSV to QBO first. QuickBooks Online, on the other hand, can upload a 3 or 4 column CSV directly.

Is there a free CSV to QBO converter?

Yes. The TradingForms CSV to QBO converter is free with no sign up and no limit, because the conversion runs in your browser. It also writes QFX for Quicken, OFX, IIF and Excel from the same file.

Why does QuickBooks reject my QBO file?

The usual causes are an Intuit bank ID QuickBooks does not recognise or an account type that does not match the account. Enter your bank's ID (copy it from an older QBO file from the same bank) and the right account type in File settings, then download again.

Why were some rows left out of the QBO file?

Rows whose date could not be read are not written to the file, and the converter shows how many. Set the date order or fix those dates in the CSV and convert again. Rows with no amount at all are skipped too.
