Bank Statement Converter: PDF to QBO, QFX, CSV for QuickBooks

To convert a bank statement into a file QuickBooks or Quicken can import, read the transactions out of the PDF, check that the balances add up, and save them as QBO (QuickBooks), QFX (Quicken), OFX, IIF or CSV. The free bank statement converter does this from a digital PDF, a scanned statement or even a phone photo, and gives you all six file types from one run.

This guide explains which file to choose, how to import it into QuickBooks Online, QuickBooks Desktop and Quicken, and how to deal with scans and rejected files.

Why you need a bank statement converter

Many banks let you download transactions as CSV or QBO only for recent months. Older months are often available only as PDF statements. That is a problem when you:

  • catch up on bookkeeping for a past year,
  • move to new accounting software and need history,
  • reconcile an account the bank feed missed,
  • work with a client who only sends PDF statements.

Retyping hundreds of lines takes hours and introduces errors. A converter turns each statement into importable data in minutes.

Which file format should you choose?

File Use it for
Excel (.xlsx) Reconciling, filtering and sharing; rows to check are highlighted
CSV Google Sheets, Xero, QuickBooks Online and most accounting imports
QBO QuickBooks Web Connect (Online and Desktop bank feeds)
QFX Quicken Web Connect
OFX Other money programs that read Open Financial Exchange files
IIF QuickBooks Desktop transaction import, booked to an account you name

If you use QuickBooks, QBO is usually the smoothest: the transactions land in the bank feed for review, just like a download from your bank. CSV works too, but you map the columns by hand.

How to convert a bank statement (step by step)

  1. Open the bank statement converter.
  2. Choose the statement PDF, scan or photo. Password protected PDFs work; the password is used on your device only.
  3. Wait while the pages are read and the transactions appear as rows.
  4. Look at the rows marked "check" (more on this below).
  5. Open File settings under the download buttons to set the account type and number for QBO, QFX or OFX.
  6. Download the format you need.

Each file can be up to 20 pages. For several months, convert each statement in turn.

How the converter reads a statement, and why it checks balances

  1. Text first. A PDF from online banking has a text layer, which is read exactly as printed.
  2. OCR for scans and photos. When there is no text layer, each page is read by OCR in your browser.
  3. Rows. Our own AI server splits each page's text into date, description, reference, money out, money in and balance. It copies amounts; it does not calculate them.
  4. Checks in code. Every row's balance must equal the previous balance plus money in minus money out, and the opening balance plus all movements must equal the closing balance.

A row read on the wrong side (a payment taken as a deposit) is fixed and marked. Anything else that does not add up is marked "check", so you look at a handful of rows instead of rereading the whole statement. This balance check is what makes a converted file safe to import.

How to import the file into QuickBooks and Quicken

QuickBooks Online (QBO or CSV)

  1. Go to Accounting, then Bank transactions.
  2. Open the Link account dropdown and choose Upload from file.
  3. Select the QBO or CSV file and the account it belongs to (for CSV, match the columns).
  4. Review the transactions in the For review tab and accept them.

QuickBooks Online takes files of up to 350 KB and 1,000 lines per upload, so split a busy year into a few files.

QuickBooks Desktop (QBO or IIF)

  • QBO: File, Utilities, Import, Web Connect Files, then pick the file and the account.
  • IIF: File, Utilities, Import, IIF Files. IIF books entries directly, so back up the company file first.

Quicken (QFX)

File, File Import, Web Connect (.QFX) File, then match it to the account.

Intuit's help on uploading bank transactions to QuickBooks Online shows the current menu names, which Intuit changes from time to time.

What if QuickBooks rejects the QBO file?

QuickBooks and Quicken match a QBO or QFX file to a bank by an Intuit bank ID inside the file. If the import refuses the file:

  1. Open File settings in the converter.
  2. Enter your own bank's Intuit ID and the account number.
  3. Download again and import.

Also check that the account type (checking, savings, credit card) matches the account you import into.

Getting a clean result from a scanned statement

OCR is only as good as the image:

  • Lay the page flat in good light, with no shadows or folds.
  • Fill the frame with the whole page.
  • A 200 to 300 dpi scan reads better than a photo.

After the run, the balance check points straight at any row the OCR misread. Compare those few rows with the paper statement and correct them before you import.

Is my statement safe?

The file is opened in your browser. Only the text of each page goes to our own AI server to be split into rows, and it is not saved. A PDF password never leaves your device.

Bank statement converter or bank statement to Excel?

Only need a spreadsheet, not an accounting import? The bank statement to Excel page covers that case, and our guide to converting a bank statement to CSV explains the column layout most programs expect. For supplier invoices, the invoice OCR tool reads invoices and purchase orders the same way.

Frequently asked questions

How do I convert a PDF bank statement to QBO?

Choose the PDF in the bank statement converter, wait for the rows, check any rows marked check, then press QBO. Import it in QuickBooks Online under Bank transactions, Upload from file, or in Desktop under File, Utilities, Import, Web Connect Files.

Can I convert a scanned bank statement?

Yes. A scan or photo has no text layer, so each page is read by OCR in your browser first. The balance check marks any row that does not add up, so you only compare a few rows with the paper.

What if QuickBooks rejects my QBO file?

Open File settings in the converter, enter your own bank's Intuit ID and the account number, then download again. QuickBooks matches the file to a bank by that ID.

Which format should I use for Quicken?

Use QFX, Quicken's Web Connect format. Import it with File, File Import, Web Connect (.QFX) File and match it to the right account.

Is my bank statement uploaded?

The file is opened in your browser. Only the text of each page goes to our own AI server to be split into rows, and it is not saved. The PDF password never leaves your device.
