Invoice OCR: How to Extract Invoice Data to Excel for Free

Invoice OCR (optical character recognition for invoices) reads the text of an invoice PDF, scan or photo and turns its fields and line items into data for a spreadsheet or accounting system. To use it, upload the invoice to an OCR tool, let it pull out the supplier, dates, totals and lines, check anything it flags, and export to Excel, CSV or JSON. The free TradingForms invoice OCR does this for up to 10 invoices or purchase orders at a time and checks that every total adds up.

This guide explains what invoice OCR extracts, how accurate it really is, how to get good results from phone photos, and when a free tool is enough.

What is invoice OCR and why use it?

Typing invoices into a spreadsheet or accounting system is slow and error prone. A single invoice with 15 lines can take several minutes to key in, and one wrong digit in an amount throws out your books or a payment.

Invoice OCR does the typing for you. Classic OCR only turns an image into text; modern invoice OCR goes further and understands the layout, so it knows which number is the invoice total and which is a unit price.

Typical uses:

  • entering supplier invoices for a payment run,
  • building a cost sheet from purchase invoices,
  • checking that what you were billed matches what you ordered,
  • re-invoicing goods you bought, with the same items and quantities.

What the invoice reader extracts

Part Fields
Header Document type, number, date, due date, PO number, currency
Parties Seller (or supplier on a PO) and buyer: name, address, country, tax ID
Lines Description, HS code, quantity, unit, unit price, line amount
Totals Subtotal, discount, shipping, tax, total
Terms Payment terms, Incoterm and place

It reads supplier invoices, bills and purchase orders. Each document becomes one row on the Documents sheet of the Excel file, and all their lines go on the Line items sheet, so ten invoices give you one tidy workbook.

How to extract data from an invoice (step by step)

  1. Open the invoice OCR tool.
  2. Drop up to 10 invoices or purchase orders (PDF, scan or photo).
  3. Wait while each file is read. Digital PDFs are read from their text layer; scans and photos are read by OCR on your device first.
  4. Look at any document marked "check".
  5. Download Excel, CSV or JSON.

How accurate is invoice OCR?

Accuracy depends mostly on the file, not the software:

File type What to expect
PDF exported from accounting software Read exactly as printed, because the text is already in the file
Clean scan at 200 to 300 dpi Very good; an odd character may be misread
Phone photo, flat and well lit Good; check amounts and invoice numbers
Crumpled, shadowed or angled photo Expect corrections
Handwritten invoice Poor with any OCR; check every row

Be wary of vendors promising "99% accuracy" without saying on what. The useful question is not how often the tool is right, but how you find the cases where it is wrong.

How the totals check catches mistakes

The AI copies amounts as printed and never calculates them. Our code then:

  1. adds up the line amounts and compares them with the subtotal,
  2. checks that subtotal minus discount plus shipping and tax equals the total.

When something does not add up, the document is marked so you look at that one first. In the Excel file the Check column says "ok" or "check" for each document. A misread digit almost always breaks one of these sums, which is why this check matters more than any accuracy percentage.

Tips for reading phone photos of invoices

  • Lay the invoice flat on a dark, plain surface.
  • Use daylight or a bright room, and avoid your own shadow across the page.
  • Hold the phone straight above the page and fill the frame with the whole invoice.
  • One page per photo; for a multi page invoice, photograph each page.
  • If the camera app has a document mode, use it.

Turn a purchase order into a proforma invoice

Suppliers who receive a PO can skip retyping it entirely. Read the PO, press Create a proforma invoice from this PO, and the proforma invoice generator opens with the buyer, items, quantities and prices filled in. An invoice you received opens in the commercial invoice generator the same way, which helps when you re-invoice goods to your own customer.

Is my invoice stored?

No. The file stays on your device. Only its text is sent to our own AI server, used once to extract the fields and not saved. There is a fair use limit on the number of runs per hour so the tool stays fast for everyone.

Free invoice OCR or paid software?

A free tool is enough when you process invoices in batches by hand, a few dozen a week. Paid invoice capture software makes sense when you need:

  • email inbox capture, so invoices are read as they arrive,
  • approval workflows and direct posting into your ERP,
  • thousands of invoices a month with an audit trail.

Frequently asked questions

What is invoice OCR?

Optical character recognition for invoices: software reads the text of an invoice image or PDF and turns its fields and line items into data you can put in a spreadsheet or accounting system.

Can I extract data from several invoices at once?

Yes. The TradingForms invoice OCR reads up to 10 files at a time. Each becomes one row on the Documents sheet of the Excel file, and all their lines go on the Line items sheet.

Does invoice OCR work on phone photos?

Yes, if the photo is flat, well lit and shows the whole page. The photo is read by OCR on your device first; check amounts and invoice numbers afterwards.

How do I know if the OCR made a mistake?

The tool adds the line amounts and compares them with the subtotal, then checks subtotal, discount, shipping and tax against the total. Documents that do not add up are marked check so you review them first.

Is invoice OCR free?

The TradingForms invoice OCR is free with no sign up, with a fair use limit on runs per hour. Paid capture software is worth it for inbox capture, approvals and very high volumes.
