Bank Statement to CSV: 3 Ways to Convert a PDF Statement
· 5 min de leitura
To get a bank statement as a CSV file, first check your online banking for an export option (most banks offer CSV for recent transactions). If you only have the statement as a PDF, convert it with a bank statement converter that reads the PDF and gives you rows of date, description, money out, money in and balance, then check that the running balance adds up before you use the file. This guide covers all three ways and how to make sure no row was lost.
Why convert a bank statement to CSV?
A CSV file turns your statement into rows and columns that any spreadsheet or accounting program can read. That makes it easy to:
- Reconcile your books against the bank, line by line.
- Sort and filter payments by customer, supplier or month.
- Import transactions into accounting software instead of typing them.
- Share clean figures with an accountant, auditor or lender.
CSV (comma separated values) is plain text, so it opens in Excel, Google Sheets, LibreOffice and almost every accounting tool.
Method 1: Export CSV from your online banking
The cleanest way is your bank's own export, because the bank writes the file directly from its records. Log in to online banking, open the account, look for Download, Export or Statements, choose a date range and pick CSV (some banks also offer Excel, OFX or QIF).
The limits: many banks only export the last few months, business and personal portals differ, and if a client or supplier sends you a statement it arrives as a PDF anyway. That is where the next two methods help.
Method 2: Use Excel to import the PDF
Recent versions of Excel for Windows can pull tables out of a PDF: Data > Get Data > From File > From PDF, pick the statement and choose the tables to load. Then save the sheet as CSV with File > Save As > CSV.
It works when the statement is a simple grid. It struggles when one transaction spans two lines, when each page starts a new table, or when money in and money out share one column with a minus sign. You then spend time fixing columns by hand.
Method 3: Convert a PDF bank statement to CSV free
Our free bank statement to Excel converter also downloads CSV. It is built for statements downloaded from online banking:
- Choose the PDF (up to 20 pages and 20 MB). The file stays on your device; your browser reads the text of each page.
- Set the date format if your bank writes dates as day, month, year or month, day, year, or leave it on automatic.
- The page text is read into rows of Date, Description, Reference, Money out, Money in and Balance. Nothing is stored.
- Check the summary: number of transactions, total money in and out, opening and closing balance.
- Download CSV or Download Excel.
It is free with no sign up, and one file counts as one use.
Password protected bank statements
Many banks lock statement PDFs with a password, often based on your customer number or date of birth. When you choose a locked PDF, the converter asks for the password and opens the file in your browser; the password is not sent anywhere. A wrong password simply shows a message and lets you try again.
Scanned statements
A scan or a photo of a statement has no text layer, so it cannot be read this way yet. Download the statement again from online banking as a PDF, which almost always has real text.
How to check your CSV is correct
The running balance is the best check, because every row must take the previous balance to the next one. Do these three checks before you trust any converted file:
| Check | How | What it catches |
|---|---|---|
| Running balance | Previous balance + money in − money out = this row's balance | Misread amounts, a row on the wrong side |
| Totals | Opening balance + all money in − all money out = closing balance | Missing or doubled rows |
| Row count | Count transactions in the PDF and the file | Lines merged or dropped |
Our converter does the first two for you. Rows that do not add up are marked so you can compare them with the PDF, and when an amount clearly sits on the wrong side (money in read as money out), the balance proves the side and the row is moved and marked "corrected". If the statement has no running balance column, it tells you so and you compare the totals instead.
Which columns does a bank statement CSV need?
A bank statement CSV needs at least a date, a description and the amount; a running balance makes it far easier to check. Accounting software usually asks you to map columns when you import, and accepts one of two layouts:
- Two amount columns: money out and money in, each a positive number. This is what our converter gives you.
- One amount column: payments as negative numbers and receipts as positive. To get it from two columns, add a column in Excel with the formula money in minus money out.
Keep the reference column too. Cheque numbers and transfer references are how you match a payment to an invoice later.
Opening a bank statement CSV in Excel
Double clicking a CSV usually opens it in Excel straight away. Two settings cause most problems:
- Dates. Excel reads dates using your computer's region. If 03/04 should be 3 April but shows 4 March, import with Data > From Text/CSV and set the right date format.
- Special characters. Accented names can look broken if the file is not UTF-8. Our CSV is saved as UTF-8 with a marker Excel recognises, so names show correctly.
For ongoing bookkeeping, keep one sheet per month and add a column for the category of each payment. If you also invoice customers, our guide on how to write an invoice helps you match payments to invoice numbers.
Common mistakes when converting statements
- Using a scan when a digital PDF exists. Text PDFs convert far more accurately.
- Skipping the balance check. One misread digit can hide in hundreds of rows.
- Mixing date formats. Set the format once and check the first and last dates.
- Uploading statements to unknown sites. A statement shows names, account numbers and balances; prefer tools that keep the file on your device and store nothing.
Frequently asked questions
Can I convert a bank statement PDF to CSV for free?
Yes. The TradingForms bank statement converter turns a digital PDF statement into CSV or Excel for free with no sign up. It handles statements up to 20 pages and checks the running balance.
How do I convert a password protected bank statement to CSV?
Choose the PDF in the converter and enter the statement password when asked. The password is used in your browser to open the file and is not sent anywhere. If you do not know it, check your bank's statement email, which usually explains the password pattern.
Why are the dates wrong when I open the CSV in Excel?
Excel reads dates using your computer's region settings, so day and month can swap. Import the file with Data, From Text/CSV, and choose the correct date format, or change the region format in Excel.
Is it safe to convert bank statements online?
It depends on the tool. Prefer one that reads the PDF in your browser and stores nothing. The TradingForms converter keeps the file on your device and only sends the page text to be read into rows, without saving it.
Can I convert a scanned bank statement to CSV?
Not with this converter yet, because a scan has no text layer. Download the statement again from online banking as a PDF, which nearly always contains real text and converts accurately.
