How to scan receipts into Excel

A receipt scanner turns a pile of paper receipts into an expense list. Take a photo of each receipt, choose them all here, and download one spreadsheet with a row per receipt and a second sheet with every item.

How to scan receipts into Excel

  1. Photograph each receipt flat on a dark surface, in good light, with the whole receipt in the frame.
  2. Choose or drop up to 10 photos (JPG, PNG) or PDFs above.
  3. Wait while each one is read. The text is read on your device, then the fields are found.
  4. Check the marked receipts. Each receipt shows whether its items, tax and total add up.
  5. Download Excel or CSV. The Receipts sheet has one row per receipt; Line items has every item.

Tips for faded and long receipts

Thermal till receipts fade with heat and time, so scan them soon after you get them. Photograph a long receipt in one picture if the text stays readable, or scan it on a flatbed. Creased receipts read better pressed flat under glass. A total that equals the subtotal is fine when the prices already include tax.

Keep the originals

Tax authorities and many expense policies want the original or a legible image, so keep the photos with the spreadsheet. The scanner gives you the data; it does not replace the receipt as evidence. Converting a whole bank statement instead? Use the bank statement to Excel tool.

Your files are opened in your own browser. A digital PDF's text is read directly; a scan or photo is read by OCR on your device, and the OCR engine downloads once from a public CDN. Only the text goes over an encrypted connection to our own AI server, is used once and is not saved. Nobody needs an account.

Frequently asked questions

How do I scan receipts to Excel for free?

Photograph the receipts, choose up to 10 here, wait while each is read, then download Excel. You get a row per receipt and a sheet with every item.

Does it work with phone photos?

Yes. Photos are read by OCR in your browser. Keep the receipt flat, well lit and fully in the picture for the best result.

Can it read faded thermal receipts?

Often, if the text is still visible to you. Very faded receipts lose characters; the totals check marks receipts whose numbers do not add up so you can fix them.

Which receipts does it handle?

Shop, restaurant, fuel and taxi receipts, cash memos and card slips in English. It reads what is printed; handwritten receipts read poorly.

Are my receipts stored?

No. The images stay on your device; only their text goes to our own AI server, used once and not saved.

Is it free?

Yes, with no sign up. Each file counts as one use of a fair use limit of a few runs per hour, which keeps our own AI server fast for everyone.
