What is an experience letter?

An experience letter is a letter from an employer confirming that a person worked for the company, in which role and for how long, often with a line on their duties and conduct. New employers, visa offices and colleges ask for it as proof of work experience, so it should be on the company letterhead, dated and signed by HR or a manager.

How to write an experience letter

  1. Letterhead: company name, address and contact details, and your logo.
  2. Reference and date: an HR reference number and the date of issue.
  3. Employee details: name, employee ID, designation and department, and the pronoun to use.
  4. Dates: date of joining and last working day.
  5. Duties: a short line on the main responsibilities, which new employers find useful.
  6. Signature: name and designation of the person signing, usually the HR manager.

Experience letter vs relieving letter

A relieving letter confirms that a resignation was accepted and the employee was released from duty on a given date. An experience letter confirms the period and nature of the work. Many companies issue both on the last day; some combine them. For a short formal version, see the experience certificate.

Other letter formats: experience certificate, relieving letter, offer letter, leave letter, NOC, medical fitness certificate.
