What is a rate confirmation?

A rate confirmation (rate con) is the one page agreement a freight broker sends a carrier for a single load: who picks up where and when, what the freight is, and exactly what the carrier will be paid. The carrier signs it before dispatch, and it sits on top of the broker and carrier agreement. This free rate confirmation template lays out every part a trucking rate confirmation needs and adds up the rate for you.

What a rate confirmation includes

  • Load number and date, the broker's and carrier's names, MC and USDOT numbers.
  • Pickup and delivery: facility, address, appointment or window, and reference numbers.
  • Equipment: dry van, reefer with the set temperature, flatbed, step deck, power only or box truck.
  • Freight: commodity, weight, pieces or pallets, and whether it is hazmat.
  • The rate: line haul, fuel surcharge and any agreed accessorials, with the total.
  • Terms: detention, truck ordered not used (TONU), layover, cancellation, tracking, and the rule that the load cannot be re-brokered.
  • Payment: the terms (for example Net 30 from a clean invoice and signed proof of delivery) and any quick pay discount.

Common accessorial charges

ChargeWhen it applies
DetentionWaiting at the shipper or receiver beyond the free time, often 2 hours, paid per hour
TONUThe truck was dispatched but the load was cancelled
LayoverThe driver has to wait overnight or longer for the load
LumperA third party unloads the truck; usually reimbursed against the receipt
Stop offExtra pickup or delivery stops

Tips for brokers and carriers

Write the detention clock rule into the rate confirmation (in and out times on the bill of lading), keep the same load number on the bill of lading and the invoice, and send the signed rate con with the invoice. A clear rate confirmation also protects both sides against double brokering, because it names the carrier that must haul the load.

Perguntas frequentes

What is a rate confirmation in trucking?

A load specific agreement between a freight broker and a carrier that confirms the pickup, delivery, equipment, freight and the rate the carrier will be paid. The carrier signs it before the load moves.

Is a rate confirmation a contract?

Yes, for that load. It works under the broker and carrier agreement and can change or add to it for the load, so read the terms before signing.

What is TONU on a rate confirmation?

Truck ordered, not used: a flat fee paid to the carrier when a load is cancelled after the truck was dispatched.

How is detention written on a rate con?

As a rate per hour after a number of free hours at each stop, for example $50 an hour after 2 hours, with in and out times recorded on the bill of lading.

What is the difference between a rate confirmation and a bill of lading?

The rate confirmation is the price agreement between broker and carrier. The bill of lading is the shipping document between shipper and carrier that goes with the freight and becomes the proof of delivery once signed.

Is it free?

Yes. No sign up and no watermark. Download a PDF or Word file, or print it, as often as you need.
