How to keep a stock register

A stock register (stock book) records every movement of one item: what came in, what went out, and the balance after each entry. Shops, stores, schools and offices use it to know stock without counting every day, and to spot losses when the count does not match.

How to keep a stock register

  1. Open a page for each item with its name, code, unit and opening balance.
  2. For each receipt, write the date, supplier and bill number and the quantity received.
  3. For each issue, write the date, who it was issued to and the slip number.
  4. Balance = previous balance + received − issued.
  5. Count the item at month end and note the result.

When the balance falls to the reorder level, raise a purchase order. Record deliveries against it with a goods received note.

Frequently asked questions

What is the difference between a stock register and a stock statement?

The register records every movement; a stock statement is a summary of stock on one date, often for a bank.

Is a stock register required by law?

GST rules ask registered businesses to keep stock accounts, and some trades and institutions must keep registers. Check what applies to you.

How often should I check stock?

At least once a month for each item, and immediately when the balance looks wrong.

Is it free?

Yes. No sign up and no watermark. Download a PDF or Word file, or print it, as often as you need.

Is my information saved?

Only in your own browser, so you can come back to the draft. Nothing is uploaded to our servers.
