How to write a debt collection letter

A debt collection letter is the formal step after payment reminders: it lists every unpaid invoice, the total owed, the reminders already sent and a final date to pay. It should be firm and factual, never threatening.

  1. Letter type: Debt collection letter is selected; choose Demand letter for a formal demand with a deadline.
  2. Names: your company and the customer you are writing to.
  3. Details: invoice numbers, amounts, due dates, what was supplied, reminders already sent, the pay by date and the next step you will take if it is not paid.
  4. Write the letter, check every figure against your ledger, then send it by email and post.

What should a debt collection letter include?

PartExample
What is owedInvoices INV-1042 and INV-1061, total USD 7,350
HistoryDue 30 September; reminders sent on 7 and 21 October
RequestPayment in full by 15 November
How to payBank details or a payment link
Next stepOnly the step you decide, for example stopping further supply

Is this letter legal advice?

No. The AI never cites laws, interest rates, fees or court action unless you write them in the details, because the rules on collecting debts differ by country. For large amounts or a formal legal demand, ask a lawyer to review the letter before you send it.

The AI uses only the facts you type. When a fact it needs is missing, such as an amount, a date or a name, it writes a placeholder in square brackets like [amount] instead of making one up. Fill those in before you send.

Your details are sent over an encrypted connection to our own AI server, used once to write the text and not saved. We do not keep a copy, we do not use it to train a model, and you do not need an account. The tool is free with a fair use limit of a few runs per hour, so it stays fast for everyone.

Frequently asked questions

What is a debt collection letter?

A formal letter from a creditor asking a customer to pay an overdue amount by a set date. It lists the unpaid invoices and the total, and usually follows earlier reminders.

What is the difference between a demand letter and a collection letter?

A collection letter asks for payment firmly. A demand letter is the last formal notice before further action, with a deadline and the step you will take. Choose either type in the tool.

Can the letter mention interest or late fees?

Only if you write them in the details, for example a late fee your contract allows. The AI never adds fees, interest or legal threats on its own.

Can it write in other languages?

Yes. Choose the language under the form: English, French, Spanish, Portuguese, Russian, Arabic, Hindi or Chinese. Names, numbers and product codes are kept exactly as you typed them.

Is what I type saved?

No. Your details are sent over an encrypted connection to our own AI server, used once to write the text, and not stored. We do not keep a copy or use it to train a model.

Is it really free?

Yes. There is no sign up and no paid plan. Each visitor gets a number of free runs per hour (a fair use limit that keeps the tool fast for everyone); when it resets you can write again.
